Be-Efficient

Be-Efficient is a Warehouse Management System (WMS) that supports all warehouse processes. We ensure that work can be recorded at the location where it’s performed. For instance, goods are received, stored, and delivered by scanning barcodes. Be-Efficient communicates with peripheral equipment such as scales and measuring devices to prevent retyping of dimensions and weights. Be-Efficient also communicates with various carriers like PostNL, DHL and UPS so that shipping labels are generated when deliveries are made.

Be Efficient is a WMS that runs entirely within Exact Online, integrated at the heart of the ERP system. Every goods receipt, stock movement, stock take, and every pick and delivery scanned on the shop floor is recorded immediately in Exact Online. The Be-efficient WMS supports all warehouse processes, from logistics to production. With barcode scanning, you work directly in Exact Online and use existing data as a basis. The software works with your hardware and integrates with your warehouse layout. Order picking is supported by smart picking strategies that suit your way of working. These include picking by age, turnover rate or volume. The result is a smooth process in which all staff can work quickly and efficiently.

This is how it works in your warehouse

Be-Efficient offers a wide range of functionalities. The finance, purchasing, and sales departments will continue to work in Exact Online, but a range of applications will be available for the warehouse to enable efficient and effective operations.

Inbound goods

Upon arrival, goods are checked against the order or draft receipt. The WMS then recommends the best next step, for example, straight to BULK, to a PICK location, or first relabelling and repacking. Everything that is scanned is immediately recorded in Exact Online.

Stocking and restocking

Pallets are placed in BULK as close as possible to the corresponding PICK locations. When stock levels in PICK fall below the minimum quantity, the WMS automatically generates replenishment requests. Orders marked as urgent are given priority.

Picking and delivery

Picking lists are generated according to pre-set business rules. Staff can carry out single or multi-order picking and may use picking trolleys with LED guidance for added reliability. Upon delivery, the packing table automatically checks quantities and quality. Dispatch labels, packing slips and transport documents are printed immediately once the delivery has been recorded in Exact Online.

Counting, analytics and production

Cycle counting and annual stock-takes are supported by the stock-taking application in the WMS, in both single-blind and double-blind modes. The analytics application provides insight into open picking lists, stock movements and delivery performance. You can build your own dashboards using the KPI designer.

For production, there are additional apps for picking for production, dispatching from production, time recording and scrap. Stock movements are processed directly in Exact Online, ensuring that the accounts and the shop floor are always in sync.

Exact Online barcode scanning & software

Be-Efiicient’s Exact Online Barcode Scanning application is the game-changer in the warehouse. Staff scan an item, location and quantity in a logical sequence so that every action is correct straight away. The application works with standard mobile scanners and tablets and supports barcodes on items, locations and pallets. Smart validation checks prevent incorrect picks and movements, and the application can be configured for batches and serial numbers.

Out-of-the-box, the application provides item information, location information, stock movements and stock-taking functions for use in the warehouse.

Integration with transport & other systems

Transport

Integrations with transportation companies such as DHL, DPD, GLS, UPS, PostNL and FedEx make it possible to generate shipping labels directly from the system and to register consignments automatically. As soon as a delivery is booked, shipping labels are printed and the consignment is digitally pre-registered with the carrier. This eliminates the need for manual data entry on external portals and reduces the risk of errors in address or order details.

E-commerce

For online shops such as WooCommerce and Shopify, the system automatically imports orders from the website into the system. Orders are processed directly as sales orders in Exact Online. Once dispatched, the order is updated with track-and-trace information, so that customers are automatically kept informed. This ensures a streamlined order flow from the online shop through to delivery.

In the workplace, too, processes are supported by smart integrations. For example, the system can read weight data from connected scales, ensuring that dispatch details are automatically correct. Barcode labels are sent directly to label printers, and put-away and retrieval instructions can be transmitted to Kardex Remstar shuttles. This ensures that physical operations and digital recording are perfectly synchronised.

API’s & customisation

The built-in REST API builder and API Runner enable the development of bespoke interfaces that align with specific business rules. This allows external systems to exchange data with Exact Online in a controlled and secure manner.

In addition, the document importer quickly converts structured orders or order confirmations – for example, from CSV files or spreadsheets – into transactions in Exact Online. Less manual data entry means fewer errors and more time for quality assurance and customer contact.

Managing stock in Exact Online

Be‑Efficient ensures that Exact Online’s stock management is always accurate and up to date. The application displays stock movements within and between warehouses, as well as location transfers to move entire locations in one go.

The application provides replenishment recommendations prioritised according to the orders awaiting fulfilment. Furthermore, the application supports cycle counting and full stock takes with progress reports.
